Clear by design

This policy explains how CAMR Visuals collects, uses, stores and shares personal information when you visit the website, make an enquiry, book a commission or appear in photography or film created by CAMR.

Who is responsible.

CAMR Visuals is the controller of personal information covered by this policy. Questions, requests and concerns can be sent to hello@camrvisuals.uk.

When CAMR works solely on a client’s instructions, the client may be the controller and CAMR may act as a processor. In that situation, the client’s privacy notice may also apply.

Information collected.

Enquiries and commissions

Your name, contact details, organisation, project brief, location, dates, correspondence, contract information and any preferences you choose to provide.

Bookings and payments

Quotes, invoices, payment status, transaction references and records needed for accounting. CAMR does not need to store full payment card details when payment is handled by a payment provider.

Photography and film

Images, video, audio, names, credits, model or participant releases and information needed to plan, produce, deliver, license and archive commissioned work.

Website use

Device and browser information, IP address, approximate location, pages viewed, referral source and cookie choices where this information is made available through Squarespace, analytics or security tools.

Other sources

Information may also come from a commissioning client, producer, venue, agency, collaborator, public professional profile or another person involved in a production.

How information is used.

CAMR only uses personal information where there is a lawful basis. The basis depends on the context and may differ across a project.

CAMR does not use personal information for solely automated decisions that produce legal or similarly significant effects.

Photography and film.

A recognisable photograph, film or audio recording may be personal information. CAMR processes this material to create and deliver commissioned work, manage selections and edits, provide agreed licences, maintain production records, evidence permissions and protect legal rights.

How work may be published or licensed is governed by the relevant contract, brief, release and applicable law. A privacy request does not automatically transfer copyright, cancel an existing licence or override another person’s legal rights.

CAMR may retain selected final work and essential production records where reasonably necessary for an agreed archive, portfolio, authorship, licensing history or legal claims. Requests concerning a particular image should identify the project, approximate date and the person shown so the material can be located.

Children and young people

Where a commission knowingly involves a child, appropriate instructions and permissions should come from the commissioning client and, where required, a parent or guardian. CAMR does not knowingly collect children’s information through this website for marketing.

Sensitive information

Please do not send health or other sensitive information unless it is necessary for a commission. Where such information is required for accessibility, safety or another legitimate production need, CAMR will limit access and use an appropriate lawful condition.

Website and cookies.

The website is hosted on Squarespace. Squarespace and connected services may process technical information to deliver pages, prevent fraud, maintain security and provide website analytics.

Essential cookies may operate because they are needed for the site to function. Optional analytics, advertising or similar technologies should only be used in accordance with your cookie choices and applicable law. You can use the site’s cookie controls and your browser settings to change or remove cookies. Blocking some essential technology may affect site operation.

Links to Instagram and other third party services take you to platforms with their own privacy practices. CAMR is not responsible for how an external service handles information after you leave this website.

Sharing and transfers.

Information is shared only where reasonably necessary. Recipients may include:

  • website hosting, email, cloud storage, gallery and file delivery providers;
  • payment, accounting and professional advisers;
  • editors, assistants, producers and trusted production partners working on a commission;
  • commissioning clients, agencies, venues and suppliers where the project requires it;
  • insurers, regulators, courts, law enforcement or other parties where required by law or needed to protect legal rights.

Some suppliers may process information outside the United Kingdom. Where UK data protection law requires safeguards, CAMR relies on an applicable adequacy decision, approved contractual safeguards or another lawful transfer mechanism provided by the relevant service.

Retention and security.

Personal information is kept only for as long as reasonably needed for the purpose collected. CAMR considers the status of an enquiry or contract, client instructions, agreed delivery and archive periods, copyright and licensing records, insurance requirements, limitation periods and tax or accounting obligations.

Unsuccessful enquiry records are reviewed and removed when they are no longer useful for follow up or legal protection. Marketing information is kept until you opt out or consent is withdrawn. Financial and contractual records are retained for the period required by applicable law. Image archives and associated permissions may be retained longer where there is a continuing contractual, authorship, licensing, portfolio or legal need.

CAMR uses proportionate organisational and technical measures to protect information. No online system is completely secure, so absolute security cannot be guaranteed.

Your rights.

Depending on the circumstances and lawful basis, you may have rights to access your personal information, correct it, ask for deletion, restrict its use, object to processing, receive portable information and withdraw consent. Some rights are not absolute and exemptions may apply, including where information is needed for legal claims, contractual rights, freedom of expression or artistic purposes.

CAMR may need enough information to verify your identity and locate the relevant records. Requests can be sent to hello@camrvisuals.uk.

Changes to this policy

This policy may be updated when services, suppliers or legal requirements change. The latest date appears at the top of the page.

Your right to object.

You can object at any time to the use of your personal information for direct marketing. You may also object to processing based on legitimate interests. CAMR will consider the circumstances and stop unless there are compelling lawful grounds or the information is required for legal claims.
